Our objective is to protect your investment by responding promptly to maintenance issues, coordinating qualified vendors, and maintaining clear communication throughout the repair process. The executed Maintenance Authorization Agreement governs the specific terms applicable to each property.
This Authorization establishes the procedures Gulf Haven follows when coordinating maintenance and repairs for managed properties. It defines approval requirements, emergency authority, vendor coordination, and owner responsibilities related to property maintenance.
Routine Maintenance
Routine maintenance includes repairs and services necessary to preserve the property’s condition, maintain habitability, and protect the Owner’s investment. Gulf Haven coordinates qualified vendors and monitors the completion of authorized work.
Emergency Repairs
When conditions threaten life, safety, or the property itself, Gulf Haven may authorize emergency repairs without prior Owner approval when immediate action is reasonably necessary to prevent additional damage or protect occupants.
Vendor Selection
Gulf Haven maintains relationships with qualified licensed and insured contractors whenever appropriate. Vendor selection is based on availability, qualifications, responsiveness, quality of work, and the specific needs of the property.
Owner Approval Requirements
Repairs exceeding the Owner’s pre-authorized spending limit generally require Owner approval unless emergency circumstances justify immediate action under the terms of the management agreement.
Billing & Payment
Maintenance expenses are charged to the Owner in accordance with the management agreement and applicable authorizations. Detailed records of maintenance costs are reflected within the Owner’s financial statements.
Owner Responsibilities
Owners agree to maintain adequate reserve funds when required, promptly review maintenance recommendations, authorize repairs when appropriate, and maintain insurance coverage necessary to protect the property.
Limitation of Liability
Gulf Haven coordinates maintenance services using reasonable professional judgment and qualified vendors. Gulf Haven is not responsible for contractor workmanship, manufacturer defects, hidden conditions, or damages beyond its reasonable control.
